Automating Webinar Registrations for Enhanced User Experience

The project was initiated on January 18, 2019, and successfully completed on February 7, 2019. Our dedicated team, led by Eric Sopp, Anton Korotkov, Paresh Kharti, and Rumen Buhalov, worked tirelessly to address several key challenges faced by the Center for Financial Social Work, a leading institution in the education industry.

Before the implementation of our project, the Center was grappling with a number of pain points in their webinar registration process:

  1. Inefficiency: The manual registration process was time-consuming and labor-intensive, leading to delays and a less than optimal user experience.
  2. Lack of Integration: The registration process was not integrated with the Center's website or their event tracking system, leading to disjointed user experiences and missed opportunities for data collection and analysis.
  3. Limited Personalization: The Center was unable to personalize the registration process to the individual user, making it difficult to engage users effectively and meet their unique needs.
  4. Data Management Challenges: Without an automated system, managing and analyzing registration data was a complex and challenging task.

Our team at UDX has addressed these challenges by implementing an automation process that has significantly improved the webinar registration process, making it more user-friendly, efficient, and integrated. The Streamlined GoToWebinar Registrations project has delivered significant benefits to the online social work school. By automating the registration process and integrating it with other platforms, we have created a seamless and efficient user experience that has improved user satisfaction and provided valuable data for marketing intelligence.

  1. User Input: The process begins when a user registers for a webinar. The system collects minimal input from the user, typically their name and email address. This makes the registration process quick and easy for the user.
  2. Data Communication: Once the user's information is collected, the system communicates this data with several platforms. It sends the data to GoToWebinar to register the user for the webinar, to WordPress to register the user on the website, and to Segment for event tracking.
  3. GoToWebinar Registration: GoToWebinar receives the user's information and registers them for the chosen webinar. The user is then added to the list of attendees for that webinar.
  4. WordPress User Registration: Simultaneously, WordPress receives the user's information and creates a new user account for them on the website. This allows the user to access additional resources and information on the website.
  5. Segment Event Tracking: Segment receives the user's information and tracks their registration event. This data can be used to analyze user behavior and improve the registration process.
  6. Confirmation and Follow-up: Once the user is registered for the webinar and on the website, they receive a confirmation email with the details of the webinar. They may also receive follow-up emails with additional information or resources related to the webinar.

During the registration process for the Streamlined GoToWebinar Registrations project, the following data is typically collected from the user:

  1. Personal Information: This includes the user's name, email address, and possibly other demographic information such as age, gender, or location. This information is used to personalize communications with the user, such as addressing them by their name in emails.
  2. Webinar Preferences: The user's choice of webinar can provide insights into their interests or areas of study. This information can be used to recommend similar webinars or resources that the user might find interesting or useful.
  3. Website Interactions: The user's interactions with the website, such as the pages they visit or the resources they download, can provide additional insights into their interests and needs. This information can be used to further personalize the user's experience, such as recommending resources related to the pages they visit most often.
  4. Event Tracking: The user's registration event is tracked using Segment. This data can be used to analyze the user's behavior during the registration process and make improvements to the process based on these insights.
